Background Check Information for Volunteers and Employees
Eastern Greene Schools is committed to maintaining a safe learning environment for all students. As part of that commitment, the corporation has updated its volunteer background check procedures to strengthen student safety. Previous volunteer screenings were more limited in scope and did not include a review with the Indiana Department of Child Services (DCS). Effective June 1, 2026, all volunteer background checks will include a more thorough criminal history review and a DCS check. Volunteer background checks will be valid for the school year in which they are completed.
As a general rule, Eastern Greene Schools expects a criminal background history that is free of convictions within the past five years. This five year guideline may be adjusted based on the severity, frequency, recency, and nature of any conviction, as well as the individual's response and the position sought. Individuals have a continuing duty to self report any criminal conviction that occurs after a background check has been completed.
Completion of the appropriate background check is required. Consideration for volunteering or employment with Eastern Greene Schools is contingent upon receipt of a background report that is appropriately clear for the position being sought.
Volunteer Requirements
A completed and approved background check is required before any individual may volunteer in a capacity that involves direct contact with students or being individually with students. This includes, but is not limited to:
- Classroom volunteers
- Field trip chaperones
- Volunteer coaches
- Club sponsors
- Recess volunteers
- Lunchroom visitors
- Any other regular school volunteer
In addition to an approved background check, all classroom guests and volunteers must receive prior approval from the building principal.
Outside providers, including therapists, tutors, and mentors, must provide documentation of a completed background check through their employing agency before working with students.
Contracted workers, such as maintenance personnel, technology support staff, and other vendors, must have appropriate background clearance through their employer before being permitted on campus without direct supervision.
One time visitors, including guest speakers and parents or grandparents attending school events, are not required to complete a background check. However, all visitors must sign in at the school office and wear a visible visitor badge or green lanyard while on school property. For large school events or assemblies, preprinted visitor stickers issued by the school office may be used and must remain visible at all times.
Important Information
Beginning June 1, 2026, each applicant must provide a personalized email address when ordering a background check. After the initial order is submitted, KidTrak will send two separate emails. Both emails must be completed to finalize the Indiana Department of Child Services check. The background check process is not considered complete until both KidTrak emails have been successfully submitted.
Basic Volunteer Background Check

Level 1 Volunteer Background Check
Base Cost: $19.90*
This includes a search of the applicant’s current county of residence.
*Additional fees may apply if a county search must be added due to a potential record.

Employment Background Check
Base Cost: $24.90*
*Additional fees will apply as required to ensure compliance with state regulations. Address history searches are automatically conducted, and any associated county access fees will be added based on the applicant’s residency history. Fees vary depending on the number of jurisdictions that must be reviewed.
Required for all new employees, including certified and non certified staff, substitute teachers, coaches, ECA sponsors, and support personnel.
This report includes a more thorough criminal history review and a check with the Indiana Department of Child Services. License verification will be conducted when applicable.
Applicants will be notified of any report that may affect eligibility for employment. Any findings will be reviewed by administration in accordance with corporation policy and state guidelines.
